Security: An Ounce of Prevention

While we believe  the staff of any museum is honest and trustworthy, it is a fact of life that security issues arise from time to time.  Explorer will allow you to monitor any person who is using the system, provide access levels, track all manager actions, and generally help keep the database and activities of the museum secure.  Which is worse, losing 100 dollars out of the cash drawer, or a disgruntled employee deleting your patron names? Explorer's security features will help ensure that you will never have to answer this question.

The Explorer System is a proven, fully-integrated museum management system. It is composed of several comprehensive, fully-integrated modules which can be installed together or individually, according to your needs. The power of the Explorer System lies in its integration of information across the entire institution. Individuals with appropriate security clearance levels can review and act on data regarding attendance patterns, donor histories, and group or individual interests. All of which means more visitors, more members, more donors, and ultimately a more professional appearance to your constituents.

The Primary Need for Security

Cash Security

Managers need the capability to override completed sales to refund, reprint tickets, and modify transactions. Each time a manager performs an override it is recorded. This record, or audit trail, includes the date, name of manager, cashier, reason for manager activity, and the amount of the modification.

During busy days cash accumulates in drawers.  A manager can withdraw cash from any drawer by entering his or her override code. All cash withdrawals are recorded. At the end of the day, the cashier's drawer will report all cash withdrawals.

Database Security

Your database can be protected in two basic ways:  Limit the access to the database itself, and limit the ability of the user to manipulate the database.
 
Limiting access to the database is as simple as identifying which programs are installed on a user's PC.  For example, a front desk user would not need to run Membership and Development.  Everything he/she would need at the front desk is offered in Sales.
 
Limiting the ability to manipulate the data is the second way to protect your database.  Each user is assigned a security level.  This level allows a user to review, add, update, or delete information in the system.  The system allows you to restrict access to various areas such as, Patron Core, Membership, Development, flags, employment, etc.  The systems will allow you to indicate who can give refunds, void paid sales, and enter new members.
